An increasingly present reality in companies is the pressure to comply with technical standards and regulations, obtain certifications, and meet the "impositions" of clients and other stakeholders. How each organization views and faces this situation can determine its results.
For many, the response to these requirements is merely a matter of formality and compliance. For others, it is part of building truly effective strategies for business operation and sustainability.
It is true that all these factors, often beyond the organization's will and control, can influence the specification of a project, the choice of equipment and materials, an investment, an operational process, a contract, or even the viability of a given alternative.
Therefore, the question is not simply deciding whether or not your company should meet a certain requirement, make the necessary adjustments, and prove compliance. First, it is necessary to understand the true impact of this requirement and what the consequences of each possible decision are. Consider this:
A regulation can establish a legal obligation. A technical standard can define criteria and references for a specific project, product, or process. A certification can set requirements for an organization or development to be recognized. A client can make their own demands to hire a supplier. And the consequences of investing in unnecessary adjustments, or underestimating a relevant requirement, can generate costs or risks that truly compromise the company's results.
Therefore, the first step is to understand what the requirement is, to whom it applies, in what situation it applies, and which criteria actually need to be met.
Consider, for example, a company developing a new real estate project. A requirement related to energy performance or building characteristics can influence design decisions. The choice of the building envelope, systems, equipment, or specific construction solutions can have different consequences regarding initial cost, operational performance, and the ability to meet certain criteria. If the requirement is only considered at the end of the process, when the main decisions have already been made, the margin for alternatives may be smaller.
The same occurs in industrial projects. A decision about equipment, technology, and utility systems or processes may be technically adequate under a certain criterion, but fail to meet a requirement that will be necessary later. Correcting this may require redesigning, replacing equipment, reworking, or making a new investment. In this case, the cost does not happen simply by complying with the standard, but because relevant information was not considered at the right time.
When a new requirement appears, it is common to look first at the investment needed to meet it. But this is not necessarily the most complete analysis. It is also necessary to consider:
In some situations, meeting the requirement represents an additional cost. In others, the adjustment can reduce operational costs, improve performance, or avoid future investments.
Therefore, the question "how much does it cost to comply?" should be accompanied by others:
For these and other reasons, it is necessary to look at "compliance or non-compliance" as part of the strategy, a matter of business decision.
Certifications are a good example of the relationship between compliance and strategic planning.
A company may seek certification for different reasons: to meet a market demand, to comply with a corporate policy, to improve the performance of a development, to meet investor criteria, or to use the certification as a positioning element, endorsing quality and sustainability.
The simple fact of obtaining a certification, however, does not determine the economic or operational benefit for the company. The result depends on how the requirements are incorporated into the design, processes, and decisions.
The same reasoning applies to certifications like EDGE, LEED, and PBE Edifica, as well as to management systems like ISO 50001 or ISO 14001. The analysis should not end with asking which requirements need to be met. It is necessary to understand how they relate to the organization's reality and to what it intends to achieve.
Although it seems obvious, it must be noted that there is not necessarily a single answer to a requirement. Two companies can make different decisions in the face of the same requirements, depending on their reality. After all, there are differences in facilities, processes, equipment, project characteristics, consumption profiles, operational conditions, investments already made, strategic objectives, financial constraints, and additional requirements from clients or partners.
Therefore, simply reproducing a solution adopted by another company is often not the best path. It is necessary to evaluate which solution makes sense for each reality. The greater the financial or operational impact, the greater the importance of evaluating alternatives before making a final decision.
When we talk about regulatory demands, standards, and market requirements, we tend to think that the greatest risk is not complying as soon as possible. However, another problem occurs when the issue is not integrated into the organization's strategic planning and different departments decide to act separately.
Imagine the following scenario, in the face of a new standard that emerges: the technical area looks at compliance, the financial area looks only at the necessary investment, operations focus on the impact on processes, the sustainability sector calculates emissions and performance, while the company's management tries to assess risks and priorities.
All these analyses are important. The problem is failing to analyze the connection between them and the overall impact of the alternatives. One solution might meet the technical requirement while simultaneously presenting low economic attractiveness. Another might require a larger initial investment but provide better performance during operation. A third might be technically adequate but incompatible with certain conditions of the development. It is necessary to consider all these dimensions together.
When we started this article by highlighting the increasingly present pressures in the day-to-day operations of companies, due to the frequent emergence of standards, regulations, and other requirements, we drew attention to the complex reality of today's corporate landscape.
Our goal is to show that a seemingly technical decision often needs to simultaneously consider performance, cost, regulatory requirements, corporate criteria, emissions, energy availability, risks, and client or market expectations.
This does not mean that every new requirement should be seen as a threat or that every certification is necessary. But rather that the company needs to know how to differentiate what is mandatory, what is applicable, what is strategic, and what can simply be a useful reference for a given decision.
If, from everything we have said so far, it has become clear to you that standards, certifications, regulations, and corporate requirements should not be treated simply as a checklist of items to comply with, and that it is fundamental to understand their context, applicability, and implications, we will have fulfilled the purpose of this article.
We believe that, for companies, the biggest challenge is not keeping track of every new standard or certification that emerges, but understanding which requirements really matter for their reality and how to incorporate them into technical and business decisions.
